The Task Dashboard is your all-in-one solution for tracking and managing tasks related to your projects. It allows you to work with both User Created Tasks and System Generated Tasks, ensuring smooth project workflow.
1. Understanding Task Types
1.1 User Created Tasks
User Created Tasks are manually added by you or a manager and assigned to a project. These tasks help track specific project-related actions that require manual input.
How to Create a User Task
- Navigate to the Task Dashboard
- Open the Task Dashboard from the main menu.
- Click "Add New"
- Locate the "Add New" button at the top-right of the dashboard and click it.
- Fill in the Task Details
- A Create Task Pop-Up will appear where you can enter:
- Project: Select the project the task belongs to.
- Title: Enter a descriptive name for the task.
- Due Date: Set a deadline for completion.
- Description: Provide details about the task.
- Priority: Set urgency (Low, Medium, High).
- Linked Task (Optional): Link to another related task if necessary.
- Upload Documents (Optional): Attach relevant files.
- A Create Task Pop-Up will appear where you can enter:
- Save the Task
- Click Save to create the task.
- The task will now appear in the dashboard for tracking.
1.2 System Generated Tasks
System Generated Tasks are automatically created when specific project-related actions occur. These tasks help ensure critical steps in the project workflow are completed.
List of System Generated Tasks and Their Triggers
On Project Creation
- Fill General Details
- Task is automatically completed when project details are edited.
- Upload Project Files
- Task is automatically completed when any project file is uploaded.
- Add Users to Contact Directory
- Task is automatically completed when a contact is added, and a Distribution List is created.
- Create TRdb for Project
- Task is automatically completed when there is at least one entry in the TRdb for the project.
- Complete Starting Number Configuration
- Task is automatically completed when a starting number is set for RFI, NCR, and Concrete Sampling.
- Assign Level Descriptions
- Task is automatically completed when the toggle for Level Description is saved and enabled.
Other Automated Triggers
- Drawing Requested by Field
- Task is automatically completed when a drawing request is approved, confirmed, or canceled by the PM.
- NCR/RFI Creation
- Task is automatically completed when an RFI or NCR is reviewed by the Project Manager and marked as "Open".
- OT Creation (PM Approval/Rejection)
- Task is automatically completed when a Project Manager approves or rejects an OT request.
- RFI/NCR Reaching Overdue
- Task is automatically completed when the requested data is extended, no longer overdue, or closed.
2. Navigating the Task Dashboard
When you enter the Task Dashboard, you will find four filtering options to manage tasks efficiently:

| This Week | Displays tasks created within the current week. |
| Completed | Shows tasks that have been marked as completed. |
| Overdue | Lists tasks that have passed their due date and are still pending. |
| All Tasks | Provides an overview of all tasks, regardless of their status. |
Using these filters, you can quickly locate and manage your tasks based on priority and completion status.
3. Understanding Task Columns
Each task in the Task Dashboard is displayed in a table with the following columns:

| Project | Displays the Project Code associated with the task. |
| Task ID | A system-generated unique ID for quick reference and communication. |
| Title | The name of the task, assigned at creation. |
| Assignee | The Project Manager or person responsible for the task. |
| Due Date | Displays the deadline for task completion. |
| Priority | Task importance level: Low, Medium, or High. |
| Status | Task progress: Pending, In Progress, Completed, or Overdue. |
| Comments | Shows the number of comments and an icon if a new unread comment exists. |
| Attachments | Displays the number of uploaded files linked to the task. |
Unread Tasks
- If a task has never been opened, its Title appears in bold, indicating it is unread.
- Opening the task will mark it as read.
4. Viewing Task Details
Clicking on a task opens the Task Details Pop-Up, providing an overview and interaction options.
Inside the Task Details Pop-Up, You Can:
✅ View Task Overview – See details such as title, project, status, priority, and due date.
✅ Upload Comments – Add comments to discuss updates, issues, or progress.
✅ Edit Task Description – Modify task details if necessary.
✅ Add Attachments – Upload documents or images relevant to the task.
Using the Task Details Pop-Up, you can track updates, collaborate with team members, and ensure task completion efficiently.
5. Task Widget: Accessing Tasks Anywhere
Managing tasks efficiently doesn’t always require navigating to the Task Dashboard. The Task Widget allows quick access from anywhere in 20/20 Solutions.
How to Use the Task Widget
- Locate the Notification Icon
- On any page within 20/20 Solutions, find the notification icon in the top-right corner.
- Open the Notification Menu
- Click the notification icon to open the Notification Menu.
- Switch to Tasks
- Inside the Notification Menu, switch to the Tasks tab to view your assigned tasks.
- View and Open Tasks
- Click on any task to open its Task Details Pop-Up, without leaving your current page.
